WhatsApp Business for small shops

Catalogs, broadcast lists and auto replies that save hours

Almost every small business in Sri Lanka already runs on WhatsApp. Orders arrive there, questions arrive there, and complaints arrive there. What most are using is the personal app, which means the same inbox as family group chats and no tools at all.

The Business app is free, takes an evening to set up, and removes a surprising amount of daily work.

Start with the switch

WhatsApp Business is a separate app. You can convert an existing number to it and keep the chat history, or run Business on a second number and keep personal separate. For most shops, converting the number customers already have is the right move.

The catalog

This is the feature most businesses skip and most benefit from. You add products with a photo, name, price and description, and then send the whole catalog or individual items as a message.

The practical gain is that you stop typing the same price twenty times a week. It also gives a customer something to scroll instead of asking "what do you have".

Keep it honest: if something is out of stock, hide it. A catalog that lies is worse than no catalog.

Greeting and away messages

A greeting message sends automatically the first time someone writes to you. Use it to set expectations rather than to say hello:

Thanks for messaging. We reply within a few hours during the day. For orders, send the item name and your area and we will confirm availability and delivery.

An away message covers hours you are not responding. Be specific about when you will be back. "We are away" tells the customer nothing; "back at 9am" stops them messaging a competitor.

Quick replies

These are saved messages you insert by typing a short code. The ones worth creating first are the answers you type most often:

  • Delivery areas and charges
  • Payment methods and account details
  • Opening hours and location
  • Your returns or warranty position

If you find yourself typing something for the third time this week, it should be a quick reply.

Labels

Labels are a simple way to track where a conversation stands: new enquiry, awaiting payment, dispatched, complete. For a business doing a handful of orders a day this replaces a spreadsheet nobody was updating anyway.

Broadcast lists, used carefully

A broadcast list sends one message individually to many people, so recipients do not see each other and replies come back privately. Only people who have saved your number receive it, which is a useful natural filter.

The rule that matters: message rarely and only when there is something genuinely worth knowing. A broadcast about a real restock is welcome. A weekly "good morning" graphic gets you blocked, and a blocked number cannot reach that customer again.

Where automation stops being free

The Business app covers a single person on a single phone. Once you need several staff answering the same number, an actual chatbot, or a link between WhatsApp and your stock or accounting system, you need the WhatsApp Business Platform, which is a different product with per-conversation costs.

That is worth doing when message volume is genuinely costing you staff hours, and not before. Most businesses reach for automation about a year earlier than they should.

An honest limit

Automation cannot fix a slow reply culture. If messages sit unread for two days, an auto-reply just tells people faster that you are not going to help them. Fix the response habit first, then automate the repetitive parts.
